Dify: Build Private Handbook Chatbots for Growing Teams

Turn a company’s handbook into a private chatbot new hires can ask anything.

In companies that hire a lot, the owner answers the same questions all day, even though the answers are already in the handbook. Dify lets you build a private chatbot trained on that handbook and charge a monthly fee to keep it current.

What Dify is

Dify is an open-source platform for building AI apps on a visual canvas: chatbots, workflows and agents. With 152.4k GitHub stars, it is one of the most popular AI projects on the site.

  • Knowledge base (RAG): upload PDFs, slides and documents; the bot answers from them.
  • Any AI model: works with hundreds of models, including OpenAI's, Anthropic's and open ones like Llama.
  • Visual workflows: build and test the bot's logic without code.
  • Agents and tools: 50+ built-in tools for tasks beyond answering questions.
  • Monitoring: see what staff ask and how well the bot answers.
  • Two ways to run it: self-host with Docker (2+ CPU cores, 4 GB RAM) or use the hosted Dify Cloud.

The service: a private handbook chatbot

You load a company's procedures, handbook and price sheets into a private bot that staff can ask anything. Each month you refresh it as their documents change. New hires get answers in seconds instead of interrupting a manager, which can cut onboarding from weeks to days.

Privacy is the pitch. Many owners won't paste internal documents into a public chatbot, so a bot running on its own workspace or server is an easier yes.

Who buys it: service businesses with 20–100 employees and steady turnover, such as home services, property management, insurance and staffing companies.

Pricing and costs

The video suggests $1,500 to set up and $250 a month to maintain and update the bot.

Clients Setup fees Monthly recurring
1 $1,500 $250
10 $15,000 $2,500

Hosting: Dify Cloud's free Sandbox plan is for testing (200 message credits). The Professional plan costs $590 a year for 5,000 message credits a month and 5 GB of knowledge storage; bill it to each client. Self-hosting costs only the server and the AI model's usage.

How to find clients

  1. Search for home services and property management companies with 20–100 employees.
  2. Filter for companies with three or more open job posts; they are onboarding right now.
  3. Reach owners, COOs and operations leads with one question: "How often do new hires ask things that are already in your SOPs?"

Getting started

  1. Sign up for Dify Cloud's free plan, or run it yourself with Docker Compose.
  2. Create a knowledge base and upload a sample handbook.
  3. Build a chatbot on top of it, test 20 real staff questions, then share the private link.

Watch-outs

  • License: Dify's license is Apache 2.0 with extra conditions. You may not run one Dify install as a multi-tenant service for many clients, or remove its logo, without a commercial license. Give each client its own workspace or install.
  • Handbooks go out of date; the monthly refresh is what the client pays for, so schedule it.
  • Say plainly which AI provider processes their documents.
