Plane: Set Up Private Project Management for Small Teams

Give a small team one private home for its tasks, sprints and project docs — set up once, then looked after by you for a monthly fee.

A growing team rarely has one place where the work lives — tasks sit in a spreadsheet, a chat thread and somebody’s notebook, while the tool they pay for charges per seat. Plane gives that team one private workspace for all of it, on software they control.

What Plane is

Plane is an open-source project management platform — an alternative to Jira, Linear, Monday and ClickUp — for managing tasks, sprints, docs and triage. With 61,334 GitHub stars and an AGPL-3.0 licence, the self-hosted edition is free to run on your own servers.

  • Work items: create and manage tasks with a rich text editor, file uploads and links to related issues.
  • Cycles and modules: timebox work into cycles (its word for sprints) with burn-down charts, and break big projects into modules.
  • Views: filter work down to what matters, save views and share them.
  • Pages: capture ideas and project docs in the same place, and turn notes into work items.
  • Analytics: real-time insights across all project data, so blockers show up early.

The service: a private project workspace, set up and run for them

You self-host Plane, migrate the client’s live tasks from Jira, Trello, ClickUp or spreadsheets, set up projects, cycles and views, train the team, and keep it updated and backed up for a monthly fee.

Why not just install it themselves? The install is the easy afternoon. The value is a workflow the team actually uses: right projects and states, a clean migration, proper permissions, and someone who answers when a board breaks.

Who buys it: small agencies, service firms and software teams paying per-seat fees for Jira or ClickUp, and owners who want project data on infrastructure they control.

Pricing and costs

A sensible package: $699 one-time setup (hosting, workspace, migration and team training) plus $99 a month to manage it. Those are this guide’s suggested prices, not Plane’s.

ClientsMonthly recurringYour hours a month
1$99~2
10$990~12

Your costs: self-hosted Plane is $0 under AGPL-3.0; the real cost is the server it runs on. If a client would rather use Plane Cloud, it runs Free at $0, Pro at $6 per seat per month billed annually, and Business at $13 per seat per month billed annually, with Enterprise Grid on request — some advanced features sit in those paid plans, so check the tier before promising one.

How to find clients

  1. Audit a prospect’s per-seat bills: add up what they pay Jira, Linear or ClickUp each year, then show the same workflows running privately for a flat fee.
  2. Target teams mid-migration: anyone facing a forced tool switch or price rise is already looking — offer the move, done for them.
  3. Demo it live: rebuild one messy board in Plane on a call — work items, a cycle, one saved view — and let them see their own work organised.

Getting started

  1. Install Plane on a test server with its Docker Compose guide and run your own projects in it.
  2. Practise a full migration — import a board, set up cycles and views, take a backup and restore it — before a client depends on it.
  3. Set up one friendly team at a discount, write down your checklist, and make it the standard package.

Watch-outs

  • AGPL-3.0 has teeth: if you modify Plane and run it as a network service, you must offer users the modified source code. Keep customisations minimal.
  • Their whole workload lives here: tested backups, careful updates and access control are the service, not extras.
  • Migration is the messy part: agree what moves and what gets archived; don’t promise every old automation maps one-to-one.
  • Adoption makes or breaks it: launch with one workflow the team feels in week one, not every process on day one.
